Turn your 'how we do things' into a ChatGPT project your team can ask
Most small businesses keep their procedures in someone's head. A ChatGPT Project holds your checklists and how-tos in one place, so you (or a new hire) can ask 'how do we close out the register?' and get your answer, not a generic one. It works on the free plan.

Skip this
- Skip paying for a plan just for this. Free allows 5 files per project, and you can combine several short procedures into one document.
- Skip uploading anything with passwords, bank details, or employee personal information. A procedure library doesn't need them.
- Skip it as your only copy. Keep the master documents in your own Google Drive or OneDrive; the project is a helper, not the filing cabinet.
Why it’s worth an afternoon
Every business has a way of doing things: how to open up, how to quote a job, what to send a new client, who to call when the card reader dies. Usually it lives in the owner’s head, which means you get interrupted every time someone needs it.
A Project in ChatGPT is a folder that keeps your files and a set of instructions together. Put your procedures in it, and ChatGPT answers questions from your documents instead of from the internet. OpenAI says Projects are available on every plan, including free.
Set it up (about 45 minutes)
- Write or gather your 5 most-asked procedures. Rough is fine; bullet points in a Google Doc or Word file work well. Combine short ones into one file to stay under the free limit.
- In ChatGPT, select New project in the sidebar and name it, for example “How we do things.”
- Upload your files into the project.
- Open the ••• menu, choose Project settings, and add instructions such as: “Answer only from the files in this project. Quote the exact step. If the answer isn’t in the files, say so and don’t guess.”
- Test it with real questions: “A customer wants a refund after 30 days. What do we do?”
- To share with staff, choose Share and invite people by email (Only those invited). Give most people chat access, not edit access.
The free option
The free plan includes Projects with up to 5 files per project and up to 5 collaborators. That’s plenty for a first version.
What it’s great at
- Answering the same “how do I…” questions so you don’t have to.
- Training a new hire on day one.
- Turning a messy procedure into a clean checklist (ask it to rewrite one, then save the result back to your own files).
Good to know
- If you’d rather keep your procedures inside Google Drive, OpenAI says you can add Drive file or folder links as project sources, but Drive content isn’t synced in advance.
Privacy, in plain English
- On Free, Go, Plus and Pro, OpenAI says project content may be used to train its models if your 'Improve the model for everyone' setting is on. Turn it off under Settings > Data controls before uploading business documents.
- OpenAI says Business, Enterprise and Edu workspace data is not used for training by default.
- If you share the project by link, anyone with a ChatGPT login who has the link can join it. Use 'Only those invited' instead.
What can break
- File limits: Free allows 5 files per project, Go and Plus 25, Pro and Business 40, and you can upload only 10 files at a time (per OpenAI).
- ChatGPT can answer confidently from the wrong section, or fill gaps with general advice. Ask it to quote the step from your document, and tell staff to check anything safety- or money-related.
- When a procedure changes, the old file stays in the project until you delete it. Outdated steps are the most common way this goes wrong.
- Deleting a project permanently removes its chats and instructions, and it can't be undone (per OpenAI).
Next step
Pair it with your meeting notes: when a team call changes how you do something, paste the summary into the project and ask ChatGPT to update the matching checklist.
