Snap a flyer, get a calendar event: let Gemini type it in for you
Event flyers, school notices, trade-show cards and appointment slips all end up on the fridge or the dashboard. Take a photo, ask Gemini to add it to your Google Calendar, and check the details. It's free and takes about a minute once it's set up.

Skip this
- Skip paid 'photo to calendar' apps unless you regularly scan multi-event schedules like rosters. For a single flyer, Gemini is free and good enough.
- Skip it if you live in Outlook or Apple Calendar. Gemini works with Google Calendar (and some Android phone calendars, per Google); for others, ask any AI chat to read the flyer and type the event in yourself.
- Skip a paid Google AI plan for this. The free tier handles the occasional flyer.
Why it’s worth 5 minutes
A chamber of commerce mixer, a supplier’s open house, your kid’s game schedule: they arrive on paper, and typing them into your calendar is the step that gets skipped. Then you miss it.
Google’s own Gemini page describes exactly this: snap a photo of a flier and ask Gemini to create a calendar event. It reads the title, date, time and place, and puts it in your Google Calendar. It’s free.
Set it up (about 5 minutes, once)
- Install the Gemini app on your phone (or go to gemini.google.com on a computer) and sign in with the Google account that has your calendar.
- The first time you ask for a calendar action, Gemini offers to connect Google Workspace. Follow the on-screen steps.
Each time (about 1 minute)
- Open Gemini and tap the camera or + to take a photo of the flyer.
- Type: “Add this event to my Google Calendar. Include the address and a one-line description.”
- Tap the event link Gemini shows you and check the date, time and year. If anything’s wrong, use Undo or fix it right in Calendar.
The free option
The free Gemini plan does this. You don’t need Google AI Plus or Pro.
What it’s great at
- Single events on flyers, postcards, posters and appointment cards.
- Screenshots of event pages or emails (“add these to my calendar”).
- Saving the address, so you can tap it for directions later.
Privacy, in plain English
- Google requires the Gemini 'Keep Activity' setting to be on for calendar actions, so your chats and photos are saved in your Google account activity.
- Be careful photographing documents with other people's details (a child's school form, a patient slip). Crop to just the event info.
- You can disconnect Google Workspace from Gemini at any time in Gemini's Apps settings.
What can break
- Gemini can misread dates and times, especially on decorative flyers, or guess the year. Always open the event and check it.
- Per Google's help page, Gemini adds events to your default calendar unless you name another one, and some versions can't add guests or change the location of an existing event. Do those in Google Calendar.
- Some things can't be undone, like emails sent to guests when an event changes.
- Google says the calendar features are rolling out gradually, so they may not appear for every account yet.
Next step
Pair it with receipts: the same photo-and-ask habit works for expenses. Snap a receipt and ask any AI chat to pull the date, vendor and total into a line you can paste into your spreadsheet. (Guide coming soon.)
